Privacy Policy

KenyaTax (kenyatax.com) is a set of free, independent Kenya tax calculators. This policy explains, in plain language, what information we collect when you use the site, why we collect it, who can see it and what control you have. We try to collect as little as possible. You can use every calculator without an account, without giving us your name and without any figure you type being stored.

Who we are

KenyaTax is operated independently and is not affiliated with the Kenya Revenue Authority or any government body. For the purposes of the Data Protection Act, 2019 of Kenya, we are the data controller of the personal data described below. You can reach us at [email protected] or through the contact page.

The short version

  • The calculators run on the figures you type and show a result. We do not store, log or share those figures unless you are signed in and choose to save a result.
  • We never ask for your KRA PIN, iTax password, national ID number, bank details or M-Pesa details. Please do not send them to us.
  • We do not sell your personal data.
  • Analytics and advertising cookies are used only after you accept them in the cookie notice.
  • You can ask us to see, correct or delete your data at any time.

What we collect and why

1. When you use the calculators

Calculations happen as you use the page. The figures you enter, such as a salary, rent or invoice amount, are used to produce your result and are not saved on our servers or written to our logs. If you share a result link, the figures are inside the link you choose to share, so share it only with people you trust.

To understand which calculators are useful, we keep a simple count of how many times each calculator is used per day. This count contains no names, no email addresses, no IP addresses and none of the figures you entered. Visits by our own staff and by search engine crawlers are not counted. We likewise count how many times each blog article is viewed per day.

2. If you create an account (optional)

An account is never required. If you create one we store your email address, your name if you give it, and a securely hashed version of your password (we cannot read your password). If you save a calculation we store a snapshot of that calculation, including the figures you entered and the result, so you can open or download it later. We use this information only to run your account and the saved-calculations feature. You can delete individual saved calculations, or your whole account and everything saved in it, from your account settings.

3. If you subscribe to the newsletter

We store your email address and the newsletter categories you chose. We use it to send those newsletters and for nothing else. Every email contains an unsubscribe link that works in one click, and unsubscribing stops all further emails. We keep a minimal record of an unsubscribed address only so that we do not email you again by mistake.

4. If you contact us

If you use the contact form we store your name, email address and message, and we email the message to our inbox. We use it only to reply to you and to keep a record of the conversation. Please do not include sensitive identifiers in your message.

5. Technical information

Like every website, our servers receive your IP address and browser details when you load a page. We use this briefly to deliver the page, keep the site secure and limit abusive traffic, for example by restricting the number of requests that can be made in a short time. We do not use it to build a profile of you.

Cookies and similar technologies

Cookies are small files stored in your browser. We use the following.

  • Strictly necessary: a session cookie that keeps you signed in if you have an account, a security (CSRF) cookie that protects forms from forgery, and a record of your cookie choice. The site cannot work safely without these, so they do not need consent.
  • Preferences: your choice of light or dark appearance is remembered in your browser's local storage on your device. It is never sent to us.
  • Analytics and advertising (only with your consent): if analytics or advertising is switched on, a cookie notice asks you first. If you choose Decline, those cookies are not set and the calculators work exactly the same. If you choose Accept, our analytics and advertising partners may set cookies to measure visits and to show and measure advertisements.

You can also block or delete cookies in your browser settings. Doing so may sign you out and reset your choices.

Advertising and sponsors

KenyaTax is free to use and may be supported by advertising or sponsorship. Advertising providers may use cookies, with your consent, to show ads and measure how they perform. Our pages load Google's advertising script, so when a page opens your browser contacts Google's servers and Google receives standard technical information such as your IP address and browser type, as it would for any file loaded from Google. Ads are not requested, and advertising cookies are not set, until you accept them in the cookie notice. Sponsored items are labelled as such. Sponsors do not receive your personal data from us.

Who we share data with

We do not sell or rent personal data. We share it only with service providers who help us run the site, and only as needed for that purpose, for example hosting, email delivery and, with your consent, analytics and advertising. These providers may be located outside Kenya. Where that happens we take reasonable steps to make sure your data is protected as this policy describes and as the law requires. We may also disclose information if the law requires it or to protect the rights and safety of our users and the site.

How long we keep data

  • Daily usage counts: kept as anonymous totals.
  • Account details and saved calculations: until you delete them or ask us to delete your account.
  • Newsletter details: until you unsubscribe, after which only a minimal suppression record remains.
  • Contact messages: for as long as needed to answer you and keep a reasonable record, then deleted.
  • Server and security logs: for a short period, then removed.

How we protect your data

Pages are served over HTTPS. Passwords are stored only in hashed form. Access to administration tools is limited to authorised staff with the permissions their role needs, and staff cannot see the figures inside customers' saved calculations. No system is perfectly secure, but we work to keep your data safe and to fix problems promptly.

Your rights

Under the Data Protection Act, 2019 you have the right to be informed about how your data is used, to access it, to object to or restrict its use, to have inaccurate data corrected, to have your data deleted, and to receive a copy of your data in a usable format. To use any of these rights, email [email protected] from the address you used with us. We may need to confirm your identity first, and we aim to reply within a reasonable time and in any case within the period the law sets. If you are not satisfied with our response, you can complain to the Office of the Data Protection Commissioner (ODPC) in Kenya.

Children

KenyaTax is intended for adults and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, contact us and we will delete it.

Links to other websites

Our pages link to other sites, such as the official KRA iTax portal. We do not control those sites and are not responsible for their privacy practices. Please read their policies before giving them any information.

Changes to this policy

We may update this policy when our practices or the law change. The date at the bottom of the page shows when it was last revised. If we make a significant change we will say so on the site. Continuing to use KenyaTax after a change means you accept the updated policy.
