Your iTax ledger is the official record of what you owe KRA and what you have paid. Many people never look at it until a clearance certificate is refused or a letter of demand arrives. A short check every few months finds mistakes while they are cheap to fix. This guide shows how to find your ledger and how to read it.
Where to find it
After logging in to iTax, look for the ledger option in the menu, usually under the payments or the account section (the wording may change over time). You can choose the tax head, such as income tax, PAYE or VAT, and a period, and view the entries on screen or download them. A statement of account may also be available on request or through other KRA channels.
The main columns
A typical ledger shows:

| Column | Meaning |
|---|---|
| Date | The date the entry was posted |
| Tax period | The month or year the entry relates to |
| Transaction | The type of entry, such as return, payment, penalty, interest or credit |
| Reference | A return number, PRN or payment reference |
| Debit | An amount that you owe |
| Credit | An amount that you have paid or are credited |
| Balance | Running total: a positive figure is usually tax due and a negative one is an overpayment |
The details of how signs appear can differ between taxes, so read the header notes on each ledger.
Types of entries
- Return assessments. When you file a return, a debit appears for the tax due.
- Payments. Credits appear when payments are allocated, matched to a PRN.
- Penalties. Debits for late filing or late payment.
- Interest. Monthly debits at 1 percent on the unpaid tax.
- Withholding credits. Tax deducted by others on your behalf, shown as a credit once the payer files.
- Refunds and offsets. Overpayments applied to other debts or refunded.
For how penalties are calculated, see penalty and interest rates for late tax returns and payments and the KRA penalty calculator.
A quick health check
- Is each return you filed shown? If a return is missing from the ledger, it may not have been submitted.
- Does every payment appear and match the correct period? Payments made without a PRN may be unallocated.
- Are penalties and interest correct? Compare with your own calculation. A return filed on time should not carry a late filing penalty.
- Are there old obligations still generating nil-return penalties? Cancel them: how to update your KRA PIN details and tax obligations.
- Are the withholding tax credits shown? If customers withheld tax but the credit is missing, ask them to file their returns.
- Is the final balance what you expect? A zero or credit balance is what you want before applying for a tax compliance certificate: getting a tax compliance certificate.
Common problems and fixes
Unallocated payment. You paid, but the ledger shows no credit for the period. Gather proof of payment (M-Pesa message or bank slip) and the PRN, and contact KRA to allocate it. See how to pay KRA taxes with M-Pesa, bank and a PRN.
Wrong period. The payment went to a different month. Ask KRA to reallocate it.
Penalty on a return filed on time. Gather the acknowledgement showing the filing date and object or ask for a correction.
Duplicate return. Two returns for the same period create two debits. Ask for the extra one to be reversed.
Missing credit for PAYE. For employees, PAYE credit depends on the employer filing. See when your employer does not remit your PAYE.
Asking KRA to correct an error
- Collect evidence: return acknowledgements, payment proof and the ledger extract with the wrong entry marked.
- Send a clear request through the iTax help channels, support portal or a KRA office, quoting your PIN, the period, the reference and what you want corrected.
- Keep the ticket number and follow up.
- If corrections are slow, escalate through the supervisor or the Taxpayer Charter channels.
Record each request and result in the KRA correspondence and objections log.
Make it a routine
Download your ledger every quarter and file it with your returns. Reconcile it with your own tax payments log and update your records. For businesses, include the check in your month-end routine: month-end close checklist.
Frequently asked questions
Why does my ledger show a balance when I have paid? Possibly because the payment is unallocated, the penalty is not removed or there is a timing difference. Compare payment references.
Can I use the ledger as proof for a loan or tender? Banks and tender bodies usually ask for a tax compliance certificate, which depends on the ledger being clear.
Does the ledger show other people's withholding for me? Yes, once the payer files and pays the tax with your PIN. Missing credits mean the payer has not filed correctly.
How far back can I view? You can generally view past periods. Download and keep your own copies.
